Customer assets

The installed base. One record per serial unit at a customer, with its site, labor and parts warranty.

A customer asset is one serial unit that sits at a customer. It records the customer, the site, the ship date, and two warranty end dates: one for labor and one for parts.

Open Service → Customer Assets. You need service view permission to see the list. An asset is what a service job or an RMA line points at when the unit needs work.

Each row is one serial unit at a customer.

How an asset is created

When a serial ships. Posting a sales order shipment creates an asset for each on its serial-tracked lines. Carbon fills in:

  • Customer and Site come from the sales order. For a , the site is the delivery's customer location.
  • Ship Date is the day the shipment posts.
  • The warranty end dates are the ship date plus the item's warranty months. An item with no months gives an empty date.
  • The asset starts "In Service" with source Shipment.

Set the months on the item's Sales tab, in the Sale Price card: Labor Warranty (months) and Parts Warranty (months). Both are whole numbers. They apply to serials that ship after you save them.

NOTE

A new sale restarts the warranty.

When an asset's serial ships again on a sales order, the asset moves to the new customer and site. Both warranty dates start again from the new ship date.

By hand, for units sold before Carbon. Click Add Asset on the list, or on the customer's Assets tab, which fills in the customer. The New Customer Asset drawer asks for:

FieldType
The part. It must be serial-tracked.
The unit's serial number. The item cannot already have this serial in Carbon.
Who owns the unit.
One of the customer's locations. This is where the technician goes.
When the unit was delivered.
Cannot be before the ship date.
Cannot be before the ship date.

Saving creates a "Consumed" serial for the item and an asset with source Manual. Registering needs service create permission.

HEADS UP

Do not register a unit that Carbon will ship.

A serial that Carbon ships becomes an asset when its shipment posts. Register by hand only the units that left before you used Carbon. If the serial already exists on the item, registration fails with "Serial … already exists for this item".

Status

Off-track
In Service
The unit is at the customer. A shipment, a manual registration, or shipping a serviced unit back on its RMA sets this status.

The warranty status is a badge that Carbon calculates from today's date in the company's time zone. It is not stored.

WarrantyMeaning
In warrantyThe labor warranty has not ended.
Labor endedThe labor warranty has ended, but the parts warranty has not.
ExpiredBoth warranties have ended, or the asset has no warranty dates.

The list's Warranty filter uses the same rule.

The asset page

Click a serial to open the asset. The header shows the serial, the status, the warranty badge, the item, the customer and the site. New Service Job opens the new job drawer with the customer and the asset filled in; it needs service create permission.

The page has these cards:

  • Warranty and Site. Change the site and the two warranty end dates. The item, serial, customer and ship date never change after the asset exists. Saving needs service update permission.
  • Notes. Free text about the unit, saved as you type.

The side panel links the customer, the serial's traceability, and the shipment that created or last moved the asset. Below them it lists the asset's Service Jobs with their status, and its Returns: the RMAs with a line for this asset, with the line's return type. Returns show only to users with sales view permission.

The asset page brings the unit's warranty and notes together.

The customer's Assets tab

Every customer has an Assets tab in its sidebar, shown to users with service view permission. It lists that customer's assets with the same columns as the main list, without the Customer column. From a row, View Asset opens the asset.
